Privacy policy

This policy explains how Flock Insurance ("Flock", "we", "us") uses your personal data when you use flockinsurance.co.uk. We are the data controller for the information you give us. You can contact us about anything in this policy at info@flockinsurance.co.uk.

What we collect

• Quote requests: your name, job title, email, phone number, company name, business type, postcode, and details about your fleet, current insurance, claims history and drivers (for example the number of drivers, the age of the youngest driver and whether any drivers have points or convictions).
• Broker applications: firm name, FCA reference number, contact name, job title, email, phone, website and details about the business you write.
• Technical data: your IP address when you submit a form (to prevent fraud and spam) and, only if you accept analytics cookies, information about how you use the site.

Please only give us information about drivers that you are entitled to share. We do not ask for driver names or licence numbers.

How we use it

• To pass your quote request to an FCA-authorised insurance broker on our panel so they can contact you and quote. Lawful basis: consent, which you give with the tick box on the quote form.
• To send you a confirmation of your request and to follow up on it. Lawful basis: legitimate interests in handling your enquiry.
• To keep a record of which broker received your request and the outcome, so we can manage our broker relationships and invoice introducer fees. Lawful basis: legitimate interests.
• To send renewal reminders and tips, only if you opted in. Lawful basis: consent.
• To assess broker applications. Lawful basis: legitimate interests.

Who we share it with

• Broker partners: FCA-authorised insurance brokers on our panel. We normally share each request with one broker. Once they have your details, the broker becomes a separate data controller and their own privacy notice applies to how they use it.
• Service providers who host the website, store data and send emails for us (for example Cloudflare and our email provider), under contracts that protect your data.
• Regulators, law enforcement or professional advisers where the law requires it.

We never sell your data. Some of our providers may process data outside the UK; where they do, we rely on UK adequacy regulations or the UK International Data Transfer Agreement / Addendum.

How long we keep it

We keep quote requests and the record of where they were sent for up to 3 years so we can handle renewals, queries and fee reconciliation with brokers, then delete them. Broker application records are kept while the firm is on our panel and for 2 years after.

Your rights

You can ask to see, correct or delete your data, object to or restrict how we use it, ask for a copy to take elsewhere, and withdraw consent at any time (this does not affect anything already done). Email info@flockinsurance.co.uk. If you withdraw consent after a broker has received your request, we will tell you which broker it was so you can contact them too.

If you are unhappy with how we handle your data, you can complain to the Information Commissioner's Office at ico.org.uk.
